Professional services

Less admin.
More billable work.

For accounting, law, design, and consulting firms across the Central Coast. We connect the tools you already use so intake, document chasing, and recurring reports stop eating your senior people’s week.

The first call is free. Every build is a fixed price against a written scope.

Tell us where it gets stuck

One sentence is enough. We’ll reply with where we think automation could help, and where it won’t.

Where the unbillable hours go,
client after client.

  • Turning inquiries into proposals
  • Chasing client documents
  • Setting up new clients
  • Recurring client reports
  • Typing the same details into three systems
  • “Where are we on this?” emails

Most of it is moving information between your inbox, your practice software, and your documents. The advice, the review, and the client relationship stay with your people.

Three places
we’d start.

Each is a focused first project: one workflow, tested on your real client work, with a person approving anything that reaches a client.

Example workflows to show the shape of the work. They aren’t client results.

Client document collection

Today
Staff send the same checklist to every client, then spend weeks on reminders, renaming files, and working out what’s still missing.
With the automation
Each engagement gets its checklist. Reminders go out on schedule, uploads are named and filed, and anything missing or unreadable is flagged.
Where a person decides
Your team confirms a client’s file is complete before work starts.

Email, your client portal or shared drive, your practice management software

Inquiry to proposal

Today
A partner reads each inquiry, copies the details into the CRM, and builds a proposal by editing the last one that looked similar.
With the automation
The inquiry is read, the contact and opportunity are created, and a proposal is drafted from your templates, services, and rates, with anything missing flagged.
Where a person decides
A partner edits and approves every proposal. Nothing goes to a prospect automatically.

Recurring client reports

Today
Every month someone exports numbers from two or three systems into a spreadsheet, rebuilds the same charts, and writes the same commentary.
With the automation
The numbers are pulled and calculated straight from the source systems. A draft commentary is written from those numbers, with links back to where they came from.
Where a person decides
A manager reviews the report and the commentary before it goes to the client.

A new client signs.
The documents get chased.

Here’s the first one in more detail. The reminders and filing run on their own, and no file is marked complete until your team confirms it.

Before
we build.

The questions we answer before we quote, so the price is one we can keep.

Where does client data go?

It stays in accounts your firm controls, with access limited to the people and clients it should be. We use AI providers that don’t train on your data, and we write down exactly what goes where.

Can we reach your systems?

Clio, Karbon, QuickBooks, Microsoft 365, Google Workspace, and the rest each allow different things. We confirm what your accounts let us connect before we quote.

Who keeps the judgment calls?

Your professionals do. Advice, conflicts, privilege, and sign-off stay with the people licensed to make them. The automation prepares the work; it doesn’t decide it.
