Wineries

Release week,
without the pileup.

For wineries and tasting rooms across the Central Coast. We help your team with the paperwork on both sides of the business, from harvest intake and cellar work orders to club releases and event inquiries, using the systems you already run.

The first call is free. Every build is a fixed price against a written scope.

Tell us where it gets stuck

One sentence is enough. We’ll reply with where we think automation could help, and where it won’t.

No commitment. Subject to availability. See our privacy policy.

Where the hours go,
harvest to release.

  • Weigh tags typed in at night during harvest
  • Cellar work orders from scribbled notes
  • Compliance reports pulled together by hand
  • Dry goods counted before every bottling
  • Club address changes and skips
  • Event and private tasting inquiries
  • Trade orders that arrive by email
  • Weekly numbers from four systems

Most of it is moving the same information between paper, inboxes, and your production and commerce systems, in the busiest weeks of the year. The winemaking, the hospitality, and the exceptions stay with your team.

Where
we’d start.

Each is a focused first project: one workflow, tested on a real harvest, release, or event season, with a person approving anything that changes a production record or reaches a member or a guest.

Example workflows to show the shape of the work. They aren’t client results.

In the cellar

Harvest intake

Today
Weigh tags, grower delivery slips, and Brix readings come in on paper and by text all harvest. Someone types them into the production system at night, after a full day on the crush pad.
With the automation
Photos of weigh tags and lab sheets are read and entered as draft fruit receipts with the grower, block, tons, and Brix. Anything that doesn’t match the grower contract or the day’s schedule is flagged.
Where a person decides
Your cellar master reviews every entry before it’s posted. Grower payments stay with your accounting team.

Cellar work orders

Today
The winemaker walks the cellar with a notebook or leaves voice memos, and someone turns them into work orders. Completed work gets logged back late, or not at all.
With the automation
Notes or a voice memo become draft work orders with the lots, vessels, and additions filled in. As the crew marks work done, it’s logged back to the production record.
Where a person decides
The winemaker approves every work order and every addition before it goes to the crew.

Compliance report prep

Today
Every reporting period, someone pulls volumes from production and removals from sales, reconciles them in a spreadsheet, and hunts for why they don’t match.
With the automation
Volumes, transfers, bottlings, and removals are pulled from your production and sales systems into a draft of your TTB operations report, with every discrepancy listed and traced to its source.
Where a person decides
Your compliance lead reviews and files every report. Nothing is filed automatically.

Club release questions

Today
Release week brings hundreds of emails: new addresses, skips, shipping holds, declined cards, swaps. Your club team answers them one at a time, on top of everything else.
With the automation
Member emails are sorted by request type and matched to the member. Replies are drafted from your club policies, and anything unusual lands in an exception queue.
Where a person decides
Your club manager approves replies and handles every exception. Shipping eligibility stays with your compliance tools and team.

Event inquiry handoff

Today
Event and private tasting inquiries arrive by email and web form. Someone writes back for the date, the group size, and the budget before anything can be quoted.
With the automation
The details are pulled from the inquiry, missing ones are asked for in the first reply, availability is checked, and a proposal is drafted from your packages.
Where a person decides
Your events lead approves the proposal and every custom request.

One weekly report

Today
Tasting room, club, online, and event numbers live in separate systems, so the weekly report means an afternoon of exports and spreadsheets.
With the automation
Numbers are pulled and calculated straight from each system into one weekly report, with a short written summary of what changed and why it might have.
Where a person decides
Your GM reviews the report before it goes to owners or the team.

Your POS, club, reservations, and accounting systems

A member writes in.
The reply is drafted.

Here’s the first one in more detail. The routine steps run on their own, and nothing reaches a member until your club team approves it.

The work comes in“Can you ship my release to my new address?”
Your automation
  • Match the member and their release
  • Sort the request and check your club policy
  • Draft the reply, or flag it as an exception

Before
we build.

The questions we answer before we quote, so the price is one we can keep.

Can we reach your systems?

InnoVint, vintrace, Commerce7, WineDirect, Tock, and the rest each allow different things. We confirm what your accounts let us read and update before we promise anything.

Is there enough volume?

A release with a few hundred members can generate a week of email; a small club may not. We size the work from your actual release and event volume, and say so if your platform’s built-in tools are enough.

What stays with your team?

Winemaking calls, additions, compliance filings, refunds, and anything that needs a personal touch. The automation drafts and sorts. Your team decides.
